Who we are
This policy is published by Rise Imagery (ABN 57 641 189 784), a sole-trader photography and videography studio based in Batemans Bay, NSW. Contact details are at the bottom of this page.
What we collect and why
We only collect information that is reasonably necessary to run the studio — quote, deliver, and invoice shoots, respond to enquiries, and run the client portal and online print shop.
Typical categories of personal information:
- Enquiry details — name, email, phone, the message you send, and submission metadata (timestamp, IP address, user agent) captured when you use the contact form.
- Client and billing details — business name, ABN, billing address, email, phone, delivery address, and records of quotes, invoices, and payments.
- Portal account data — email address used to sign in, role within your organisation, and activity within the portal (projects viewed, files selected, comments left, share links opened).
- Shoot content — photographs and video we capture on your behalf. These are personal information when they identify an individual.
- Shop orders — name, email, shipping address, and the fact of a purchase. Payment card details are handled by Stripe and never reach us.
- Technical logs — basic server and rate-limit logs containing IP addresses. These are kept short-term to detect abuse.
How we use it
- To reply to enquiries and quote work.
- To schedule, shoot, edit, and deliver the photography or video you’ve booked.
- To issue and collect invoices, including through Stripe.
- To run the client portal — auth, access control, file delivery, comments, and share links.
- To send transactional emails that flow from the above (delivery notifications, invoice reminders, share link alerts).
- To meet legal, tax, and accounting obligations (e.g. keeping invoice records for seven years under the Income Tax Assessment Act).
We do not sell your personal information and we do not use it for third-party advertising. We do not send marketing emails without a separate opt-in.
Who we share it with
We use a small number of reputable service providers, each limited to what they need to do their job. The short list:
- Supabase (AWS regions in Sydney / Singapore) — database, auth, and file storage backing the site, admin and portal.
- Stripe (global, PCI-DSS compliant) — payment processing for invoices and the print shop. Card details are handled by Stripe; we only see masked metadata.
- Cloudflare — edge hosting, R2 object storage for media, and DDoS protection.
- Resend — transactional email delivery.
- Google Maps — loaded on pages that display a map. Google receives standard browser request data when their script runs.
- Australian Taxation Office and the studio’s accountant — where required for tax filings.
- CASA and law enforcement — only when legally compelled.
Some of these providers store or process data outside Australia. Before engaging them we check that the destination has comparable privacy protections, or we rely on contractual safeguards. By using the site you consent to this cross-border handling.
Cookies and similar technologies
Rise Imagery uses a small number of functional cookies to keep you signed into the portal and to remember which client organisation you have active. We don’t run advertising trackers. If we add analytics in future, we will use a privacy-respecting tool (Plausible or similar) and will not enable ad profiling.
Photography, faces, and publication
When we are commissioned to photograph a property, venue, or product, images may incidentally capture passers-by or occupants. We handle those images as follows:
- We do not publish images in which a stranger is the identifiable subject without their consent.
- For real-estate work, we assume the client has the right to allow us on the property and to have it photographed. If you are a tenant or guest who would like your likeness removed from an image, email us and we will take it down.
- For portrait or talent work, consent is captured in the booking agreement.
Security
We use Supabase Row-Level Security on every client-scoped table, signed URLs on downloads, and unguessable tokens on public share links. Passwords are never stored — sign-in uses one-time email codes. Files on the client portal are only delivered via time-limited signed URLs. No system is perfectly secure; if you suspect an issue, please email us.
How long we keep information
- Enquiry data — kept while we are in correspondence, then archived for up to two years.
- Client records and shoot content — retained for the life of the client relationship and for at least seven years after for tax and dispute-resolution purposes.
- Portal account data — retained while your organisation has an active account and removed on request.
- Rate-limit and abuse logs — short-term only, typically no more than 30 days.
Your rights
You can ask us to (a) give you a copy of the personal information we hold about you, (b) correct it if it is wrong, or (c) delete it, subject to legal record-keeping requirements. Email the address below and we will respond within 30 days.
Complaints
If you believe we have breached the Australian Privacy Principles, email us first and we will work in good faith to resolve it. If you are not satisfied with our response, you can refer the complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The “last updated” date at the top of the page reflects the most recent change. Material changes that reduce your rights will be announced on the homepage before they take effect.
